Ground Rules for Processing the Booking Requests of Teaching and Learning Venues

 

Ground Rules for Processing the Room Booking Requests:

  1. All room booking reservations must be made at least 1 working day in advance.
  2. The Faculty Office shall oversee the on-line room booking system and process all requests submitted through the system.  In general, priority will be given to bookings of venues for teaching purposes (and for big annual functions/conferences as far as possible).  All teaching and learning venue bookings made by School/Department users will be approved subject to room availability as a default mechanism; however, the HKUMed Teaching and Learning Team reserves the right to review/re-allocate the rooms as approved on the system whenever necessary.
  3. Normally, School/Department users may book venues on the list for the next 100 days.  If booking of venues is required beyond this period, users are required to submit a special request to the Faculty Office via email to fmedroom@hku.hk.
  4. The Faculty Office will grant access right to School/Department users in phases for booking of rooms for teaching and learning activities one semester in advance.  Details of access period will be sent to eligible School/Department users in due course.
  5. Cancellation of a booking should be made in advance if the venue is found to be not needed so that it can be released for other users.  If a room is booked but not used during the specified period, the Faculty Office may not entertain any special booking requests from that School/Department users in future.
  6. For a venue booking for use outside office hours, the user should fill in the account code for payment of overtime charges when submitting the booking request.
